Meetamorph terms of service
Version 2026-10-31
1. Who provides the service
Meetamorph is a platform for running accessible events: attendee profiles, badges with QR and NFC, help requests, messaging between attendees and the organiser dashboard. It is provided by Juan José Montiel Pérez. Contact: [email protected].
2. Acceptance
These terms apply to organisations that use the organiser dashboard to run their events. Whoever creates an organisation accepts them on its behalf and confirms they are entitled to do so. Together with them, the organisation accepts the data processing agreement, which covers the data of the people who take part in its events.
People who only attend an event do not need to accept these terms: their relationship is with the event's organiser and, for their account, the platform privacy notice applies.
3. Free of charge, with credit
The service is free for organisations. There are no paid plans and no features held back, and the platform is kept going by voluntary donations from the community.
In return, the organisation undertakes to credit Meetamorph as a collaborator of every event it runs on the platform:
- the footer of the event's pages shows "In collaboration with Meetamorph", with a link to the platform, and the organisation does not hide or change it;
- whenever the event publishes the list of its sponsors or collaborators (on its website, programme, social media or event materials), it includes Meetamorph among them, with a link to the platform where the format allows.
We also ask the organisation to talk about the platform, so that other organisations can use it too.
The organisation may show its own sponsors and collaborators in the footer of its event, and it is responsible for what it publishes about them. Neither they nor anyone else receives participants' data through the platform.
Should this ever change, organisations would be told at least three months in advance, and none would start paying without expressly agreeing to it.
4. Sign-up, approval and suspension
New organisations stay pending until the platform's administrators approve them. An organisation that breaches these terms can be refused or suspended, with prior notice unless there is an urgent risk to people or to the platform.
5. What the organisation commits to
- Giving truthful information and keeping its contact email up to date.
- Having a legal basis for the data it imports or asks for, and informing people through the event's privacy notice. The organiser dashboard creates it from a template that the organisation must review and complete.
- Importing only the data the event needs.
- Looking after its team's access and removing anyone who should no longer have it.
- Publishing accessible content: alternative text for images, enough contrast and plain language. The organiser dashboard helps, but the content is the organisation's responsibility.
- Not using the platform to send unsolicited advertising, to collect data for other purposes or for anything unlawful.
6. What the platform commits to
- Running the service with due care and applying the security measures of the processing agreement.
- Aiming for conformance with WCAG 2.2 level AA and fixing the accessibility barriers reported to it.
- Giving reasonable notice of changes that affect how the service is used.
7. Availability
The service is provided without a guarantee of continuous availability. Planned downtime is announced where possible and avoided on the days of an event, but there may be interruptions for maintenance, failures or causes beyond the platform's control.
8. Data and the end of the service
Each event's data belongs to its organisation. Events are archived after they end, and their data is deleted when the retention period the organisation chooses in the organiser dashboard is over. The organisation can export its participants before then. If it stops using the service, the processing agreement applies.
9. Liability
The platform is liable for damage it causes wilfully or through gross negligence. It is not liable for the content the organisation publishes or for what the organisation does with the data outside the platform. Nothing here limits the rights the law gives to the people whose data is processed.
10. Changes
When these terms or the processing agreement change, the organiser dashboard asks every organisation to accept the new version; until then, the version it accepted still applies. If the new version is not accepted within two months of the notice, the platform may suspend the organisation.
11. Governing law
These terms are governed by the law of Ireland. Disputes will be settled by the courts of Ireland, without prejudice to the rights consumer law gives individuals to bring a claim in the courts of their own country.
